Returns and refunds that preserve the accounting story

Handle partial goods returns, monetary refunds and shipping adjustments with their own quantities, values and dates. Keep later credits traceable to amounts already booked.

01

Same-day full and partial returns

Before eligible same-day posting, a full return can exclude the returned value; a partial return retains the remaining sale and its allocated discount.

  • Two items total ₹1,180. Returning one before posting leaves an illustrated ₹590 sale.
  • Same-day timing alone does not guarantee netting: an already-posted sale follows the applicable correction path.
02

Later and repeated returns

A later return creates a separate return or credit event while preserving the original sale. Further partial returns respect remaining quantities and booked value.

  • Original sale ₹1,180; later return of one ₹590 item: retain the original sale and record a separate ₹590 credit.
  • A prior monetary reduction must be considered when valuing a subsequent goods return.
  • A return spanning shipments is allocated against the relevant captured fulfillments.
03

Money without returned stock

Monetary-only refunds do not invent inventory quantities. Configured no-restock goodwill treatment distinguishes compensation from goods actually returned.

  • Refund adjustments remain distinct from merchant discounts.
  • Tally and Zoho have different itemized goodwill mechanisms; Zoho inventory adjustments need suitable tracked Goods items.
  • Failed refund transactions surface as exceptions rather than successful cash movement.
04

Partial shipping refunds

Shipping is a separate component: returning a product does not automatically refund the whole delivery charge.

  • Illustration: half of shipping ₹100 + ₹18 GST is ₹50 principal + ₹9 tax.
  • Eligible same-day adjustments reduce shipping before posting; later adjustments remain separate.
  • Mixed-rate shipping retains its allocated tax components.
  • Goods and shipping refunds can occur together without counting the same amount twice.
05

Refunds follow the recorded payment

For mixed-payment orders, successful Shopify refund transactions govern the payment allocation rather than blindly replaying the original split.

  • ₹400 online + ₹780 COD originally does not force a ₹300 refund to use that same proportion.
  • Refunds made outside Shopify cannot be assigned an actual payment route unless the corresponding information is recorded there.
06

Shopify-native exchanges

Keep the returned item and the replacement shipment visible in the accounting. Shopify-native exchanges use return and fulfillment events on the same order; replacement items are booked at their own charged value.

  • Same-day exchange capture covers equal, higher and lower-value replacements. Additional successful non-COD payments can top up the payment allocation.
  • Return charges recorded on a Shopify Return have a separate accounting path. A fee retained outside that record cannot be inferred automatically.
  • For Tally itemized billing, enable Post free items (zero value) and allow zero-valued Sales transactions in Tally to record eligible free replacement stock lines.
  • Ask us to walk through cross-day exchanges and your ERP/payment setup during the trial. Third-party returns-app exchanges need separate validation.
07

When the return disposition changes

A later Shopify disposition of NOT_RESTOCKED or MISSING can update a pending return or create a stock write-off task for an itemized return already posted.

  • Keep the customer credit and the inventory treatment visible as distinct parts of the workflow.
  • A later change from lost back to restocked requires separate review.
