Payment-aware bookkeeping

Keep every Shopify payment in the right clearing ledger.

Separate prepaid gateways and COD couriers, preserve mixed payments, and reverse refunds using the payment methods Shopify says actually moved the money.

One order · two payment methods

Razorpay ClearingDebit₹700
COD - Delhivery ClearingDebit₹300
Sales + GSTCredit₹1,000

Illustrative accounting shape. Exact Sales and GST lines depend on the order, place of supply, tax rates and configured presentation.

Choose the level of detail

Simple when you want it. Granular when you need it.

1

One default clearing ledger

Keep every B2C receivable in one account when a simple posting shape is more useful than payment-level detail.

2

A clearing ledger per gateway

Route Razorpay, Shopify Payments, PayPal, COD and other successful payment methods to their own accounts.

3

Gateway plus COD courier

Split COD receivables further by the courier collecting the cash, while prepaid methods continue to use their gateway ledgers.

Mixed-payment example

₹700 prepaid. ₹300 COD. Neither disappears.

A ₹1,000 order paid partly through Razorpay and partly on delivery stays split in the accounting output. In Tally, the voucher can carry separate debit lines. In Zoho Books, the invoice is paired with payment allocations to the relevant clearing accounts.

  • Uses successful Shopify payment transactions, not a guessed label.
  • Keeps total debits and credits balanced in one accounting event.
  • Supports a safe default-ledger fallback for an unmapped method.

Capture

Read each successful payment amount.

Route

Resolve gateway or COD-courier mapping.

Fallback

Use the next configured level when needed.

Refund-aware reversal

The refund follows the money back.

If a mixed-payment order is later refunded, Ledgeree reads the refund’s successful Shopify transactions and reverses the corresponding clearing allocations. It can carry the allocation across multiple fulfillments without assigning the whole refund to the order’s first gateway.

Scope boundary: this is gateway-aware bookkeeping from Shopify transaction data. It is not bank reconciliation, payout matching, fee matching or COD-remittance matching.

Questions

Payment-ledger mapping, clearly answered.

Does this reconcile Shopify Payments or Razorpay payouts to the bank?+

No. Ledgeree records the Shopify-side receivable in the appropriate clearing ledger. It does not currently match processor payouts, fees or bank deposits automatically.

Is a COD courier ledger the same as a shipping-charge ledger?+

No. The COD courier clearing ledger represents cash the courier has collected for you. A shipping-charge or delivery-expense ledger represents the cost or revenue associated with delivery.

What happens if a new gateway or courier has not been mapped?+

Ledgeree falls back from courier to gateway and then to the shop's default clearing ledger, so optional granularity does not block an otherwise valid posting.

What happens when an order is paid using two methods?+

Ledgeree preserves the successful amount for each payment method. If that order is refunded, the refund's own successful Shopify transactions determine which clearing ledgers are reversed.

Worked example: ₹400 prepaid + ₹780 COD

For a ₹1,180 order, payment-level routing allocates ₹400 to the online gateway and ₹780 to COD, optionally by courier. Across two ₹590 shipments, the earlier shipment consumes ₹400 prepaid and ₹190 COD; the second uses ₹590 COD. A later ₹300 successful online refund routes to its recorded online method, not an assumed original proportion. Reducing unpaid COD receivables is distinct from refunding cash already collected.
